This privacy notice for Soluta describes how and why we collect, store, use, and share your information when you use our services.
This notice applies when you:
- Visit our website at soluta.co or any website of ours that links to this privacy notice
- Download, install, or use the Soluta Business Manager mobile application
- Use any Soluta module, including inventory, field operations, analytics, machinery rental, procurement, risk monitoring, or insurance management
- Apply for or use financial services offered through the platform, including virtual credit, payment processing, or business insurance
- Engage with us in other ways, such as sales, support, marketing, or partnership enquiries
Please read this notice carefully. If you do not agree with our policies and practices, please do not use our services. Where we rely on your consent to process data — for example, for precise location or marketing communications — you may withdraw that consent at any time.
1. Information We Collect
Information you provide to us
- Account and identity information. Your name, business name, email address, phone number, job role, and country of operation when you register.
- Business and operational records. The data you enter into the platform: crop and inventory records, field activities, procurement entries, machinery usage, sales and transaction logs, supplier and buyer details, and any documents or photographs you upload.
- Identity verification information. Where you apply for credit, insurance, or payment services, we may be required to collect government-issued identification, business registration documents, tax identifiers, and related verification records.
- Communications. The content of support requests, feedback, survey responses, and correspondence with our team.
Information collected automatically
- Log and usage data. Diagnostic and performance information our servers record, including IP address, device identifiers, browser type and settings, operating system, date and time stamps, pages and features viewed, and actions taken within the platform.
- Device data. Information about the computer, phone, or tablet you use to access the services, including hardware model, operating system version, and mobile network information.
- Location data. As described in section 4 below.
- Analytics and measurement data. Events and identifiers recorded by our analytics and advertising tools, as described in section 8.
Information from third parties
We may receive information about you from partners who help us deliver the service, including payment processors, credit reference and identity verification providers, insurance underwriters, weather and agronomic data providers, and — where you choose to sign in using a third-party account — that provider.
2. How We Use Your Information
We process your information to:
- Create and maintain your account and keep it in working order
- Deliver the modules and features you have signed up for
- Provide weather intelligence, market pricing, risk alerts, and advisory content relevant to your operation
- Assess eligibility for, provide, and administer financial products including virtual credit, payment processing, and insurance
- Generate the reports, analytics, and organised records you use for audits and insurance claims
- Detect, investigate, and prevent fraud, abuse, and security incidents
- Respond to support requests and communicate service notices
- Send marketing material, where you have opted in or where permitted by law
- Improve our services, including through aggregated and de-identified analysis
- Comply with legal, regulatory, tax, and financial-services obligations
3. Financial Services and Credit Information
Where you apply for or use virtual credit, payment services, or business insurance through Soluta:
- We collect the identity, business, and financial information necessary to verify you and assess eligibility, and we may be legally required to retain it under anti-money-laundering and financial-services rules.
- Payment card and bank account details are collected and stored by our payment processor, Stripe, under their privacy notice at https://stripe.com/privacy. We do not store full payment instrument numbers on our own systems.
- Financial and identity records are typically retained for 90 days after the end of the relationship, as required by applicable financial regulation.
Information collected for financial services is used for that purpose and for fraud prevention, legal compliance, and servicing your account. It is not sold, and it is not used for advertising.
4. Location and Field Data
Soluta uses location information to deliver weather forecasts, early warnings, market information, and field-level records.
- Precise location is collected only where you grant permission through your device, and is used to attach location to field records and to deliver location-specific weather and risk alerts.
- Approximate location may be derived from your IP address for regional content and security purposes.
- You can withdraw location permission at any time in your device settings. Some features — including localised weather alerts and geotagged field records — will not function without it.
- Location attached to records you have already created remains part of those records unless you delete them.
5. Offline Operation and On-Device Storage
Soluta is designed to keep working where connectivity is poor. When you work offline, records you create are stored locally on your device and synchronised to our servers when a connection returns.
- Locally stored data remains on your device until synchronisation completes or you uninstall the application.
- We recommend using device-level security such as a screen lock and encryption, since data cached on the device is protected primarily by your device's own safeguards.
- Uninstalling the application deletes locally cached data but does not delete records already synchronised to your account.
6. Sharing Your Information
We share personal information with the following categories of third parties, only as needed to run the service:
- Cloud hosting and infrastructure providers — storing and serving platform data
- Payment processors — processing transactions and payouts
- Lenders, insurers, and underwriters — providing credit and insurance products
- Identity verification and fraud prevention providers — verifying users and meeting regulatory obligations
- Weather and agronomic data providers — delivering forecasts and advisory content
- Analytics and advertising providers — measuring usage and marketing performance
- Professional advisers and auditors — legal, accounting, and compliance support
We may also disclose information where required by law, court order, or regulator; to protect our rights, safety, or property; or in connection with a merger, acquisition, or sale of assets, in which case we will notify you.
We do not sell your personal information. Business and operational data you enter into Soluta belongs to you and is not sold or shared with other users.
7. International Data Transfers
Soluta is operated from Bangladesh and used across Asia, Africa, and Europe. Your information may be transferred to, stored in, and processed in countries other than your own, including countries whose data protection laws differ from those in your jurisdiction.
Where we transfer personal data out of the European Economic Area or the United Kingdom, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission to provide an appropriate level of protection. You may request a copy of the relevant safeguards by contacting us.
8. Cookies and Tracking Technologies
We use cookies, pixels, and similar technologies on our website. These currently include:
- Google Analytics — website traffic and usage measurement
- Meta Pixel — advertising measurement and audience building
- AdRoll — advertising retargeting
- Microsoft Clarity — usage analytics and session recording, which captures how you move through and interact with pages
Most browsers accept cookies by default; you can refuse or delete them in your browser settings, though some features may not work correctly as a result. Where required by law, we ask for your consent before setting non-essential cookies.
9. Information Retention
We keep personal information only for as long as necessary for the purposes described in this notice, unless a longer period is required or permitted by law.

When retention periods expire, we delete or irreversibly anonymise the information.
10. Your Information Safety
We have implemented appropriate technical and organisational security measures designed to protect the personal information we process, including encryption in transit and at rest, role-based access controls, secure authentication practices, access and activity logging, regular data backups, security monitoring, and periodic security reviews.
However, no electronic transmission or storage technology can be guaranteed to be completely secure. Although we work to protect your personal information, transmission to and from our services is at your own risk, and you should access the services only within a secure environment.
11. Your Privacy Rights
Depending on where you live, you may have the right to:
- Request access to and a copy of your personal information
- Request correction of inaccurate information
- Request erasure of your information
- Restrict or object to processing
- Request data portability
- Withdraw consent where processing is based on consent
- Not be subject to a decision based solely on automated processing that produces legal or similarly significant effects
- Lodge a complaint with your local data protection authority

Marketing communications
You can unsubscribe at any time using the link in any marketing email, or by contacting us. You will still receive service-related messages about your account.
Account closure
You may request closure of your account by contacting us. We will deactivate or delete your account and information from our active databases, though we may retain certain records to prevent fraud, resolve disputes, enforce our terms, and comply with legal and financial-services requirements.
12. Children's Privacy
Our services are intended for business use and are not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
13. Data Breach Procedures
If a breach of personal data occurs — including loss, alteration, or unauthorised disclosure of or access to personal data — we will investigate promptly, take steps to contain it, and notify affected users and the relevant supervisory authorities where required by law and within the applicable timeframes.

We may update this privacy notice from time to time. The revised version will be indicated by an updated "Last updated" date and will be effective as soon as it is accessible. Where changes are material, we will notify you directly or by a prominent notice on our services.
